Doing this
properly

Our trustees adopted a full set of policies on 20 October 2026, covering safeguarding, complaints, conflicts of interest, data protection, health and safety, volunteers and how our trustees behave. This page explains how to raise a concern or a complaint, and how we look after your personal data.

You can ask for a full copy of any policy by emailing contact@aeiaxioma.uk.

Safeguarding

Keeping people safe

Everyone our work touches has the right to be safe: students on our courses, people at the venues where we teach, and the patients, communities and health workers who use the supplies we help send. We have zero tolerance of abuse, exploitation and harassment, including sexual exploitation and abuse by anyone working for us or our partners.

How to raise a concern

  • If someone is in immediate danger, call the emergency services first (999 in the UK).
  • Email contact@aeiaxioma.uk. Safeguarding concerns go to our safeguarding lead, Dr Rebecca Cusack, a trustee.
  • Speak to any trustee in person or by phone on 07415 879633.
  • Overseas, you can also use our partner organisation's own feedback or reporting system, in your own language, or ask someone you trust to contact us for you.

You don't need proof, and you don't need to write in English: we will arrange translation at our cost. You can stay anonymous. Raising a concern will never affect anyone's access to aid, a course place or a bursary.

If you're not happy with how we respond, you can contact the Charity Commission.

Complaints

Telling us when we get it wrong

We welcome complaints. They help us put things right. Anyone affected by our work can complain, including students, donors, partners, people where our supplies are used, and members of the public.

How to complain

  • Email contact@aeiaxioma.uk, or speak to any trustee.
  • Tell us what happened, when and where, who was involved, and what you'd like us to do.
  • You can complain in any language, verbally, through someone else, or anonymously.

What happens next

Stage 1The Chair (or another trustee, if your complaint is about the Chair) tries to resolve it. We acknowledge within 5 working days and respond within 15.
Stage 2If you're still unhappy, a trustee who wasn't involved reviews it and gives a written decision. We acknowledge within 5 working days and respond within 20.
Stage 3You can go to the Charity Commission, or to the Fundraising Regulator about fundraising.

We're all volunteers, so if we need more time, for example for translation, we'll tell you. Safeguarding concerns are passed straight to our safeguarding lead.

Privacy notice

Your personal data

Who we are. Axiom Global Medicine (Aei Axioma, charitable incorporated organisation no. 1212435) is the data controller for personal data you give us. Contact: contact@aeiaxioma.uk.

What we collect and why.

  • Sign-up forms (course interest and volunteer clinicians): your name, email, and the details you choose to give. We use them only to contact you about what you signed up for. Our lawful basis is your consent, and you can withdraw it at any time.
  • Learning quizzes: if you take a quiz on our free learning pages, we keep your anonymous score and answers (no name, email or device ID) to improve the materials. Your progress is saved only in your own browser.
  • Emails you send us: we use them to reply and keep a record where needed (for example complaints or safeguarding concerns).
  • Donations: donations and Gift Aid declarations are handled by Zeffy and PayPal Giving Fund, with Gift Aid claimed through Swiftaid. Their privacy policies apply to the details you give them.
  • Analytics data (pages viewed, approximate location, device type), only with your consent, kept for 14 months.

Who sees it. Only our trustees, and only those who need to. Sign-up forms are stored on Cloudflare, which hosts our website, and our email is hosted by Proton. We never sell or share your data for marketing.

How long we keep it. Sign-up details for up to two years, or until you ask us to delete them. Complaint and safeguarding records are kept for longer, as our policies require.

Your rights. You can ask to see, correct or delete your data, or object to how we use it, by emailing us. If you're unhappy with how we handle your data, you can complain to the Information Commissioner's Office.
